General

1 Sustrans Big Walk and Wheel is promoted by Sustrans company number 1797726, (Registered Charity No. 326550 (England and Wales) SCO39263 (Scotland)] (“The promoters”/ “we”).
2 The challenge dates are Monday 21 March – 1 April 2022.
3 Schools can record journeys/physical activities (for those with barriers to participation) for the challenge on the Sustrans Big Walk and Wheel website from 9am on Monday 21 March 2022 to midday on Tuesday 5th April 2022. Journeys made before the start time or after the closing time will not count towards the challenge.

5 The promoters reserve the right to cancel this scheme at any stage, if deemed necessary, or if circumstances arise out of its control.

Participation

6 Sustrans Big Walk and Wheel is open to all schools in the United Kingdom. A DfE/SEED/Inst number is required to complete registration and enable schools to participate.
7 We encourage schools to record journeys on every day of the challenge, but their final position is determined by their best five days. For more details on how pupils can take part if they have a barrier to participation, see the section ‘Eligible active journeys and physical activities’ below.
8 Friday 1 April 2022 is the final day of the challenge and an optional fundraising non-uniform day in which schools can choose to take part. The fundraising non-uniform day activities will be open to all children at the school. However, only children making active journeys or participating in other ways- as outlined in the Ways to take part in the challenge pdf can be logged for the purpose of the competition.
9 Sustrans Big Walk and Wheel has three categories for school-types, small primary (fewer than 250 pupils), large primary (greater than or equal to 250 pupils), and secondary schools.

There is no separate category for SEN/ASN/ALN schools. Pupils with special educational needs, additional support needs, additional learning needs and/or disabled pupils may take active journeys to school or do other physical activity at school which can count towards the school’s daily score. This can include walking, using a wheelchair, scooting or cycling (using school/static/adapted cycles if required), or other physical activity during the school day e.g. during school break times, in the playground. Activities completed at school can be logged on the Sustrans Big Walk and Wheel website as ‘physical activities’ and count towards your daily score.

It is up to the discretion of school staff what constitutes one physical activity for pupils with SEN/ASN/ALN and/or disabled pupils taking into account pupil ability.

Only one active journey or physical activity should be recorded per pupil per day.

Nursery schools can enter into the Sustrans Big Walk and Wheel competition provided they have a DfE Number. If a nursery does not have a DFE number and wishes to take part they should contact bigwalkandwheel@sustrans.org.uk.
10 Participants can register as a whole-school. However, if the whole school can’t take part, schools can enter one class or year group into the challenge. If a school is registered as a whole-school, classes or year groups within the school are not permitted to register separately as a class.
11 The promoters aim to support schools during the challenge by providing them with Sustrans Big Walk and Wheel-themed resources. However, we cannot be held liable if, for any reason, we are unable to provide these resources.
12 The promoters are not responsible for misuse of any prize, or claims, liability, loss or damage arising out of or in connection with this scheme. The promoters have no knowledge of local conditions and it may be that as a result of those conditions, including but not limited to weather conditions, construction projects, closures or other events, routes used are not safe. Any schools, by registering to participate in Sustrans Big Walk and Wheel, accept that it, or its representatives, must exercise judgment in their activities which result from participation in Sustrans Big Walk and Wheel, and are responsible for decisions affecting the safety of pupils and other participants.
13 Organisations who promote Sustrans Big Walk and Wheel are eligible to sign up for a Sustrans Big Walk and Wheel account for external promoters, giving them access to promotional resources, a tool to create leaderboards for specific schools, and access to school homepages. However, this account does not give access to the details of school champions.
14 Schools are advised to check all their details on the Big Walk and Wheel website prior to the start of the challenge. If any information is incorrect, they should contact the challenge organisers (bigwalkandwheel@sustrans.org.uk) to amend the details prior to the challenge start date. Once the challenge has begun it will not be possible to amend the information given at registration. Incorrect details may lead to allocation of the wrong category and a school/class not being eligible to claim any prizes or trophies.

Eligible journeys and physical activities

15 A school or class must log their active journeys/physical activities to:
  • receive a daily score which determines their position in the category at the end of the challenge
  • appear on the daily leaderboards
  • be eligible to win in the daily prize draw
16 A school/year group/class may log one walking, wheelchair, scooting or cycling journey per pupil per day of the challenge. This should relate to the journey made to school each day. For those that park and walk/wheel, their journey to school counts towards the challenge if the final 10 minutes of the journey has been made on foot, using a wheelchair, scooter or cycle.
17 Students with special education needs, additional support needs, additional learning needs and/or disabled pupils in both SEN/ASN/ALN and mainstream schools can take part in Sustrans Big Walk and Wheel by walking, using a wheelchair, scooting or cycling to school or doing a physical activity at school. This can include walking, using a wheelchair, scooting or cycling (using school/static/adapted cycles if required), or other physical activity during the school day e.g. during school break times, in the playground. Activities completed at school can be logged on the Sustrans Big Walk and Wheel website as ‘physical activities’ and count towards your daily score.

18 Children who make use of Local Authority provided free transport to school and therefore cannot take an active journey to school can take part in Sustrans Big Walk and Wheel in the following ways:
  • They can take an active journey to school, this includes walking, using a wheelchair, scooting or cycling. Parking and walking/wheeling also counts an active journey to school in the challenge if the final 10 minutes of the journey has been made on foot, using a wheelchair, scooter or cycle.
  • They can walk, use a wheelchair, scoot or cycle for 30 minutes at school or do 30 minutes of exercise at school. This activity completed at school should be logged as ‘physical activities’.
  • Taking another active journey from home. This should be logged as ‘Active journey other’.
19 Pupils who are learning remotely due to coronavirus can participate in Sustrans Big Walk and Wheel by taking active journeys from home, or 30 minutes of physical activity at home. The active journey from home needs to be logged as ‘active journeys (other)’ and the physical activity at home needs to be logged as ‘physical activities’ on the Sustrans Big Walk and Wheel website.
20 School boarders who don’t have the option of a school run can take part in Sustrans Big Walk and Wheel by taking another active journey from school. This should be logged as ‘active journeys (other)’
21 A school/year group/class entering into the challenge agrees to record journeys/physical activities as accurately as possible within the rules outlined in these terms and conditions.

Overall category winners

22 Journeys and physical activities must be logged by midday on Tuesday 5th April 2022 for schools to be eligible for overall category winner.
23 The position of a school/year group/class at the end of the challenge is determined by their daily scores. Daily scores are calculated as the proportion of a school/year group/class who logs a walking/wheelchair/scooter/cycling journey or physical activity that day, and are given as a percentage. E.g. a school that has 100 pupils of which 60 walk, use a wheelchair, scoot or cycle to school or take part in a physical activity on a given day will receive a daily score of 60%.
24 The overall winners of the challenge will be the school/year group/class with the highest score averaged of their best five days. The results are based on the data entered by the school/class.
25 In the event of a tie, the schools at the top of the leaderboard will be declared joint winners.
26 There are three overall categories in the 2022 challenge:
  • small primary school (1-250 pupils)
  • large primary school (250+ pupils)
  • secondary schools
The top five schools on the leaderboards for each of these categories will receive an exclusive framed Big Walk and Wheel 2022 certificate.
27 The overall winning schools and final positions will be confirmed no later than 8th April. Details of the winning schools will be published on the Big Walk and Wheel website. These will be the official and final positions as determined by the promoters.
28 The promoters will determine the winners of the prizes and final positions in accordance with their performance during the competition. All such decisions will be final and binding.

Daily leaderboards

29 In order to be included on the daily leaderboards a school/year group/class should log their journeys/physical activities on the Big Walk and Wheel website as per the table below.

30 A participant will not appear on the daily leaderboards if they enter their results after 9am the following school day. However, journeys/physical activities will be added to their overall challenge total if these journeys/physical activities are entered before midday on Tuesday 5 April 2022.
31 The overall challenge leaderboards reflect results entered by 9am on each day and may not be accurate as some schools may not enter their results until midday Tuesday 5 April.
32 The promoters will aim to publish updated daily leaderboards on the website by midday each day, reflecting the previous day’s results. However we cannot be held liable if we are unable to meet this deadline.
33 Once the results for each week have been published they will be final.

Early bird registration prize draw

34 Schools that register for Sustrans Big Walk and Wheel before 9th February 2022 will be entered into a random prize draw.
35 The prize is Sustrans Bio sports water bottles and slap wrap bands for a class. However we cannot be held liable if the prize changes.
36 The winner will be selected at random, contacted and announced by 24th February 2022. However we will not be held liable if we are unable to meet this deadline.
37 By registering your school before 9th February 2022 you are agreeing to be bound by these terms and conditions.
38 The winner will be contacted by Sustrans via the email address used to register in the Big Walk and Wheel competition. Any personal data relating to entrants will be used solely in accordance with current data protection legislations.
39 The prize should be claimed by the winner by 3rd March 2022. After this date, the promoter reserves the right to withdraw the prize altogether or to pick a replacement winner.

Daily prize draw

40 Sustrans Big Walk and Wheel is designed to be a fun challenge to help your school promote, walking, using a wheelchair, scooting and cycling journeys to school. To reflect this, prize allocation is random and daily, to allow as many schools as we can to win prizes for their pupils’ efforts around the UK.
41 To be entered into the prize draw you must log your active journeys/physical activities on Sustrans Big Walk and Wheel website by 9am on the following school day.
42 Prize winners will be selected at random from all those schools/year groups/classes who have a score of 15% calculated on that specific day (see “Overall category winners” above for details on how the daily score is calculated).
43 Not all schools/year groups/classes are eligible for all prizes. Some prizes are aimed only at participants registered in specific categories. Details on daily prizes, and who is eligible for them, will be available on a school’s homepage on each day of the competition.
44 We will aim to announce the daily prize winner by noon the following day. However we cannot be held liable if we are unable to meet this deadline.
45 The promoters will determine the winners of the daily prizes in accordance with the terms and conditions. All such decisions will be final and binding.
46 The prize should be claimed by the winner by Monday 16 May 2022. After this date the promoters reserves the right to withdraw the prize altogether or pick a replacement winner.

Pre- event survey prize draw

47 We have introduced a pre-event survey to help us understand how many extra active journeys to school take place during Sustrans Big Walk and Wheel.
48 The pre-event survey active journey to school data needs to be collected on Wednesday 9 March 2022 (2 weeks in advance of the competition).
49 The data collected on the 9 March 2022 will be used to establish an active travel baseline for the school.
50 To thank schools for taking part in the pre-event survey, schools that enter their pre-event survey data onto the survey page of the Big Walk and Wheel website by 9am on the 21st March 2022 will automatically be entered into a random prize draw.
51 The winner will be selected at random, contacted and announced by 31st March 2022. However we will not be held liable if we are unable to meet this deadline.
52 By logging pre-event survey data prior to the 21st March you are agreeing to be bound by these terms and conditions.
53 The winner will be contacted by Sustrans via the email address used to register in the Big Walk and Wheel competition. Any personal data relating to entrants will be used solely in accordance with current data protection legislations.
54 The prize should be claimed by the winner by 14 April 2022. After this date, the promoter reserves the right to withdraw the prize altogether or to pick a replacement winner

Post- event survey prize draw

55 We have introduced a post-event survey to help us understand how many extra active journeys to school take place following Sustrans Big Walk and Wheel.
56 The post-event survey active journey to school data needs to be collected on 6 June 2022 (2 months after the competition).
57 The data collected on the 6 June 2022 will be used to calculate an impact score for the school overall and for each class which supplied pre-event survey data.
58 The impact score will be the percentage point change in active travel during Sustrans Big Walk and Wheel compared with the school’s baseline two weeks prior to the competition (the 9 March pre-event active travel data).
59 To thank schools for taking part in the post-event survey, schools that enter their post-event survey data onto the survey page of the Big Walk and Wheel website by 9am on the 8 June 2022 will automatically be entered into a random prize draw.
60 The winner will be selected at random, contacted and announced by 13th June 2022. However we will not be held liable if we are unable to meet this deadline.
61 By logging post-event survey data prior to the 8 June 2022 you are agreeing to be bound by these terms and conditions.
62 The prize should be claimed by the winner by 27th June 2022. After this date, the promoter reserves the right to withdraw the prize altogether or to pick a replacement winner

Additional Terms and Conditions for daily prizes and other prize competitions

63 No cash alternative to the prizes will be offered, even in the case of cancellation.
64 The prize is not transferable. In the event of unforeseen circumstances, the promoters reserves the right to offer an alternative prize.
65 The winners will be contacted by Sustrans via social media or email. We share the name and email address of a prize winner with the prize sponsors to arrange prize delivery. Any personal data relating to entrants will be used solely in accordance with current data protection legislations and will only be used to administer the prize.
66 Delivery of the prize is arranged directly between the prize giver and the winner. Sustrans accepts no responsibility for delivery of the relevant prize or the winner’s satisfaction with the product(s). Please contact the prize giver in these instances.
67 The promoters cannot accept responsibility for loss or corruption of data in transit.
68 The promoters reserve the right to cancel or withdraw Daily Prizes, and any other prize competitions associated with the Challenge at any time.
69 The promoters may substitute any prize that is awarded as part of this scheme with one of equal or greater value as it, at its sole discretion, may determine.

Additional terms and conditions

70 You must not adapt the Sustrans Big Walk and Wheel logo, resources or nature of the competition other than where consent is given in writing by the Sustrans Big Walk and Wheel team. Requests can be made by emailing to bigwalkandwheel@sustrans.org.uk.
71 You will not adapt the name of the Sustrans Big Walk and Wheel competition. The competition must be referred to as either “Sustrans Big Walk and Wheel.”, “Sustrans Big Walk and Wheel/Stroliwch a Roliwch” or “Sustrans Stroliwch a Roliwch”.
72 You are not permitted to use the Sustrans Big Walk and Wheel competition to generate income or profit except to fundraise for Sustrans. However, PROVIDED THAT schools are participating in Sustrans Big Walk and Wheel, they are hereby permitted to raise funds for their own school during the competition.
73 You must not use the Sustrans Big Walk and Wheel competition in any way that causes reputational damage to Sustrans.
74 Registering to the Sustrans Big Walk and Wheel website will be deemed as acceptance of these terms and conditions.
